Learn how Superhuman Mail makes it easy for Executive Assistants to manage their own inbox as well as their executive’s!
Auto Labels
Use built-in or custom Auto Labels to cut through the noise and automatically route the most important messages to your executive's inbox ⚡
Built-in Auto Labels
- Hit Cmd+K (Mac) or Ctrl+K (Windows) → Auto Label Library.
- Choose a built-in Auto Label like Respond, Meeting, or Travel.
- Click the Auto Label(s) you'd like to enable.
In addition to using the built-in Auto Labels, you can also create your own Auto Labels using deterministic and AI criteria.
Custom Auto Labels
- Hit Cmd+K or Ctrl+K → New Auto Label.
- Click Build Your Own.
-
Define your custom Auto Label.
- Decide whether you want to start with deterministic criteria (From, To, Subject, etc.) or an AI prompt.
- Combine multiple criteria using AND (for all criteria) or OR (for any criteria).
- Click Add exclusions to set criteria for emails that should not receive the label.
- A preview section will appear on the right, analyzing conversations in real time and pulling results that match your current prompt.
- Click ✔️ or ✖️ next to a result to fine-tune the Auto Label.
- Click Create to finalize the custom Auto Label.
From now on, new emails — plus the last 14 days of emails — that match your rule will automatically receive the Auto Label.
💡 Tips:
- Use Auto Labels for repetitive categories like vendor invoices, approvals, or travel so your exec sees those emails first!
- Click Settings → Auto Labels to edit any Auto Labels.
Create a custom Split with Auto Labels
Once you’ve created Auto Labels, you can turn them into powerful Splits for your executive.
- Hit Cmd+K or Ctrl+K → Split Inbox Library.
- Click Build Your Own.
- Enter the name of your new Split under Name.
- Under Auto Labels, you can define Splits based on built-in or custom Auto Labels. You can use Auto Labels in addition to or instead of traditional Definitions.
- Hit Create to add your new Split to the top of your inbox.
Any email that matches your Auto Label will now flow automatically into this Split for your executive — no manual work required.
Create a starred (or flagged) Split
Sometimes you’ll want to manually call out a message for your executive — that’s when a starred (or flagged) Split comes in handy.
- Hit S to star or flag an email for your executive.
-
Hit / to start a Search.
- For Gmail users, search for is:starred
- For Outlook users, search for is:flagged
- Hit Enter to run the Search.
- Hit Cmd+K or Ctrl+K → New Split Inbox.
- Select New Split Inbox with search then name your Split.
When you star or flag an email moving forward, it will automatically land in this Split.
Once your executive has reviewed or responded, hit S again to unstar or unflag the message, which will then return to the inbox. From there, you can archive it anytime by hitting E.
💡 Tip: Use this workflow for one-off messages that don't need a permanent Auto Label.
