Executive Assistants

Managing your own inbox and your executive’s at the same time is a lot. Superhuman Mail is built to make it feel effortless — keeping the right emails front and center, the noise out of the way, and both accounts under control from a single app.

This page covers the features that matter most for executive assistants, and exactly how to put them to work.

Auto Labels

Auto Labels automatically route the emails that matter most — so your executive sees what needs their attention without you having to manually sort through everything first. Use built-in labels like Respond, Meeting, and Travel for instant coverage, or build your own using AI criteria and rules like sender, subject, or keywords for repetitive categories like vendor invoices, approvals, or travel confirmations. Go to ⚙️ Settings → Auto Labels to edit any time.

💡 Tip: Learn more about Auto Labels.

Split Inbox

Once your Auto Labels are set up, turn them into Split Inboxes to give your exec a fully organized inbox with no manual sorting on their end — and for one-off messages that don't need a permanent label, a starred (Gmail) or flagged (Outlook) Split Inbox lets you star/flag them manually so they land in a dedicated view automatically. Once your executive has reviewed it, unstar/unflag and archive to keep the Split Inbox clean.

Switching Accounts

Keep both inboxes visible all day using tabs in the Superhuman Mail native app — your account in one, your executive's in another. Hit Cmd+T (Mac) or Ctrl+T (Windows) to open a new tab, then Cmd+K or Ctrl+K → Switch Accounts to sign into your executive's account. From there, jump between inboxes instantly with Cmd/Ctrl+1 and Cmd/Ctrl+2 — so you never lose your place in either.

Calendar

Add your executive’s calendar so you can manage their schedule right from Mail — no app switching, no context lost. With Share Availability, you can even book meetings on their behalf by sharing their open times directly
with external contacts, cutting out the back-and-forth and keeping their calendar moving.

Reminders

Stay on top of every action item without letting anything slip. Auto Reminders bring emails back to your inbox automatically if there’s been no reply, and manual Reminders let you prioritize any email for exactly the
right moment — so you’re always working from today’s priorities, not yesterday’s loose ends.

FAQ

Is there delegate access in Mail?

We don’t have a delegation feature at the moment, though we aim to build this in the future. In the meantime, the Switching Accounts workflow is the best way to manage your executive’s inbox alongside your own.
