Share Availability

You can easily create booking pages and share open times from your calendar right in a draft —  without breaking flow. 

Desktop

Create Booking Page

  1. Hit 2 to see your week.
  2. Click ➕ beside Booking Pages to create a booking page and fill in the details — Event Title, Duration, Video, Where, Scheduling Window, Calendar, Check for Conflicts, and Your Calendars.

  • Scheduling window: Control your availability by blocking bookings within a certain number of hours, or limiting how far in advance someone can book.
  • Check for Conflicts: Decide which calendars to check for conflicts, and include any teammates or co-hosts so everyone’s availability is taken into account.

3. Hit Cmd+Enter (Mac) or Ctrl+Enter (Windows) to save the Booking Page.

To edit or delete a Booking Page, hit 2 to see your week, then click ... beside the Booking Page.

Insert Booking Page

  1. Hit Cmd+Shift+A or Ctrl+Shift+A in a draft to start sharing your Booking Page.
  2. Select the booking page you’d like to use.

You can also hit 2 to see your week, hover over the booking page row, and then click to copy the link.

Insert free times

  1. Hit Cmd+Shift+A or Ctrl+Shift+A in a draft to start sharing specific time slots.
  2. Select Insert free times.
  3. When your calendar appears, click and drag to select time slots.
    1. When teammates are included in the To: or Cc: fields in a message, their calendar will automatically appear.
  4. Click the pop-up that appears at the bottom of the screen to add more details — Event title, Who, Ignore conflicts, Duration, Timezone, Event location, and video link.
  5. Hit Insert to add your availability.

Mobile

Share Availability is only available on Desktop for now.

Recipient Experience

When the recipient clicks on the booking page or "book here" in the message, they'll be taken to a booking page where they can choose a time slot that works with their schedule. They will see all available time slots in their local timezone, so there's no need to convert time differences manually 🌐

After the recipient selects a time, they will progress to the page where they may add their name, email, and add or remove other guests to the event.

Once they hit Schedule, the event will be booked. The organizer will receive a confirmation email, and any additional guests will receive a calendar invitation.

FAQs

Can I edit the message?

There isn’t a way to customize the Share Availability message just yet. For now, you can personalize it by editing the wording directly in your draft before sending, or by using Write with AI.

Which calendars are used for booking availability?

When setting up a Booking Page, you can choose which of your connected calendars are used to determine availability. Any calendars you select will be checked for conflicts when showing open time slots.

Can I exclude certain calendars from my availability?

Yes. When creating or editing a Booking Page, you can select which calendars should be considered for availability. If you’d prefer certain events not to block your booking page, you can simply leave those calendars unchecked under Check for Conflicts.

Why does my Booking Page show limited availability?

Your Booking Page availability is based on the calendars selected in your booking page settings under Check for Conflicts. If multiple calendars are included, any conflicts across them will reduce the available time slots shown to invitees.

Where is the old Booking Pages feature?

It’s now called Insert free times and Book Pages. You can use this to quickly share your availability alongside a booking link, all from the same flow by hitting Cmd+Shift+A or Ctrl+Shift+A.

How does “Check for Conflicts” work?

We can check your calendars and your teammates' calendars when calculating your availability for the booking page. Under the Check for Conflicts section, any calendars or teammates that are checked on will be respected.

My Booking Page is showing unexpected conflicts.

If your Booking Page is showing fewer slots than expected, it’s usually due to multiple calendars being considered for conflicts under Check for Conflicts. You can adjust which calendars are included directly in your booking page settings by unchecking the boxes for the calendars you’d like to exclude.

My availability looks different from my calendar.

Your Booking Page availability reflects conflicts across the calendars selected in your booking settings. If additional calendars are included, they may be blocking off time behind the scenes.

To review this, open your Booking Page settings and check the Check for Conflicts section to see which calendars are selected. You can get there quickly by hitting 2, clicking the three dots, and selecting Edit next to your Booking Page.

I used “Insert free times”. What happens if an event is booked over one of the time slots I shared?

The booking link reflects the live state of your calendar when the recipient opens it. If a slot is no longer available, the booking link will automatically update to reflect your availability change, unless it was set to Ignore conflicts.

Can I insert multiple timezones?

Inserting multiple timezones isn’t available just yet.
