Custom Auto Labels

In addition to using the built-in Auto Labels, you can also create your own Auto Labels using deterministic criteria. If you're on the Business plan, you can also use an AI prompt to create your custom Auto Label.

Desktop

  1. Hit Cmd+K or Ctrl+K New Auto Label.
  2. Click Build Your Own.
  3. Define your custom Auto Label.
    • Decide whether you want to start with deterministic criteria (From, To, Subject, etc.) or an AI prompt, if you're on the Business plan.
    • Combine multiple criteria using AND (for all criteria) or OR (for any criteria).
    • Click Add exclusions to set criteria for emails that should not receive the label.
  4. A preview section will appear on the right, analyzing conversations in real time and pulling results that match your current prompt.
  5. Click ✔️ or ✖️ next to a result to fine-tune the Auto Label.
  6. Click Create to finalize the custom Auto Label.

All new messages that match your prompt will automatically be assigned the new Auto Label, as well as messages from the past 14 days.

While there is no limit to how many custom Auto Labels you can create, there is a limit of 10 custom Auto Labels created with an AI prompt.

Best Practices for Writing AI Prompts

If you're on the Business plan and want to use an AI prompt to create your custom Auto Label, these instructions will ensure you create excellent Auto Labels every time:

  • Be explicit – Clearly define the criteria for labeling emails.
  • Use examples – Providing an example email that fits the category can help refine the logic.
  • Consider variations – Think about alternative phrasings that may be clearer.
  • Iterate and refine – Test your prompt and make adjustments based on misclassifications.

Auto Labels categorize conversations based on their content, subject, sender, and recipients. Do not include details like the conversation’s unread status, timestamp, attachments, message frequency, or CRM information in your prompt.

By carefully structuring your prompts, using precise language, and considering possible edge cases, you can improve the accuracy of your Auto Labels system and enhance your email management workflow.
