Keeping your emails out of Spam
Overview
This guide can be used to troubleshoot when your emails are landing in the spam folder of your recipients. Spam filtering is typically handled by email providers, such as Gmail or Microsoft, and can be impacted by a variety of factors.
Domain Configuration
To start, check that SPF, DKIM, and DMARC are configured for your domain to ensure deliverability. These authentication protocols help verify that emails from your domain are genuine, thus preventing spam and phishing attacks.
You can type your domain into a tool such as MxToolBox:
If your domain does not meet the necessary standards, you or someone with the appropriate IT access can use one of the following resources depending on your mailbox provider:
- Keeping Your Emails Out of Spam (Gmail)
- Email authentication in Microsoft 365 (Microsoft)
Note that it may take several days to see a change after configuring these standards.
Other Recommendations
If SPF, DKIM, and DMARC are configured for your domain and your emails are still landing in spam, there are a few other tweaks you can make to improve deliverability:
- Hit Cmd+K (Mac) or Ctrl+K (Windows) → Disable Read Statuses to turn off Read Statuses.
- Hit Cmd+K or Ctrl+K → Signatures, and disable Sent via Superhuman.
- Simplify your email signature if it contains numerous links, images, or lots of formatting.
