Learn about the basics of folder management in Superhuman Docs, including how to create and share folders.
Every doc in Superhuman Docs lives in a folder. Folders are a great way to organize the docs in your workspace - think departments, teams, and projects. They also control who can access those docs. This article covers how to create folders, add and remove docs, and delete folders. To learn how folder access and sharing work, see Share folders and control doc access.
Create folders
To add a new folder to your workspace, follow these steps:
First, ensure you are a Doc Maker in your workspace. Only Doc Makers can create folders.
Navigate to your workspace home (docs.superhuman.com/docs).
-
In the left-hand panel, locate and click on the Folders section.
If you're a member of multiple workspaces, make sure you select and expand the correct workspace in the left panel first.
In the upper-right corner, click the + New folder button.
Give the folder a name, a description (optional), and an icon color (optional), then press Create.
Once you've created a folder, you can share it with specific people, groups, or your whole workspace. To learn how, see Share folders and control doc access.
Note: On a Free or Pro plan, you can still create folders, but only shared folders (folders shared with everyone in your workspace). See Share folders and control doc access for info on how your plan affects folder permissions.
Create a subfolder
A subfolder is a folder nested inside another folder. Subfolders are only available on Team/Business and Enterprise plans.
You must have Can edit or Can manage access to the parent folder to add a subfolder.
-
From your workspace home, locate and click on Folders in the left panel.
If you're a member of multiple workspaces, make sure you select and expand the correct workspace in the left panel first.
Open the parent folder you want to nest inside.
In the upper-right corner, click + New folder.
Give the subfolder a name (optional description and icon color too), then press Create.
The subfolder appears inside the parent folder. You can also turn an existing folder into a subfolder by moving it into another folder - see Move a subfolder below.
Modify folder access
The level of access someone has to a folder or subfolder determines their access to the docs inside it. For example, give someone edit access to a folder and they can edit every doc in it.
On Team/Business and Enterprise plans, folders are private by default; only you can see the docs inside until you share the folder. On Free and Pro plans, folders are shared with everyone in your workspace.
For the full picture - including the four access levels, sharing steps, and how folder permissions flow down to docs - see Share folders and the docs within.
Manage folder contents
Add docs to a folder
Anyone with Can manage or Can edit access can add docs to a folder or subfolder - both brand-new docs and existing ones.
To add a new doc, open the folder, then click the + New doc button in the upper-left corner.
To move an existing doc into a folder, see Move docs between folders and workspaces.
Remove docs from a folder
Anyone with Can manage access can move docs out of a folder.
To move a doc to a different folder, open the folder and find the doc. Hover over it, click the three-dot menu (…) on the right edge, and choose Move. Select a destination folder, then click Move.
To remove a doc without choosing a new folder, click Remove from folder from the same menu. This relocates the doc to the doc owner's My Docs folder.
Running into issues moving docs between folders? This is often due to your permission levels in the destination folder. See Move docs between folders and workspaces for details.
Move a subfolder
You can move a subfolder to a different parent folder, or promote it to a top-level folder. Note that you must have Can manage access to the parent folder in order to take this action.
Open the subfolder.
Hover over the folder name at the top of the page and click the three-dot menu (…).
Select Move folder.
Choose a new parent folder, or select Top-level to make it a top-level folder. Click Move to confirm.
You can't move a folder into itself, into one of its own subfolders, or across workspaces.
Note: Moving a subfolder can change who has access to it and the docs inside. See Share folders and control doc access for how subfolder permissions behave when you move.
Delete folders
To delete a folder or subfolder, you need Can manage access. Deleting a folder deletes it for everyone in your workspace.
Before you can delete a folder, move, remove, or delete everything inside it (see Remove docs from a folder above).
Then click into the folder or subfolder and hover next to the folder name at the top of the page. Click the three-dot menu (…), select Delete folder, and click Delete to confirm.
Note that the Delete button stays disabled until all docs in the folder are relocated or deleted.
To just remove a folder from your left-hand panel without deleting it, see Browse folders and add folder shortcuts.
